The Main Dashboard
The Dashboard is the landing page you will see when you have logged onto the system. The Dashboard is a general overview of all your listings, their total value, your leads and your syndication onto the property portals. In this Module, we will go over the Dashboard and all its elements.
The Dashboard
When you initially log in to the system, you will see the main Dashboard Page, as shown below. There are many other dashboards contained within the system, these dashboards can be accessed when viewing branches, agents and listings for example, each Dashboard is discussed under that particular section.
On the left, you have the Dashboard 'hamburger' menu, shown below. This is your navigation tool that will allow you to navigate through the various modules in the system.
Notice that each of the modules you see on the menu above, correlates to the modules in this training guide for easier referencing. We will go through every one of these modules in detail throughout this training guide.
The Dashboard Menu Options(Main Menu)
The menu options are access specific. You may not have all of the options available to you that are being discussed in this section.
Company
Under the Company module you will have access to all Franchise, Branch, Users, Teams and User Groups information. What you can view in this module is determined by your User Group access.
Listings
The listings module is where you can access, add and edit all Residential, Commercial, Holiday and Project listings. We also have a Valuations module under this section, the valuations module can be accessed on sign-up for this service. Read more about our valuations module here.
Syndication
This is an overview of all of your listings and agents and their current state of syndication to P24 and Private Property.
Clients
Here you have access to all your Contacts, Profiles, Leads, Subscriptions and depending on your add-on services, Referrals, that are on the system.
Website
This module is still being developed by Prop Data. More information will be available soon.
Media
This is where you as an agent/admin/manager can store any important documents relating to the specific agency, branch or franchise.
Dashboard Functions
Shortcut Buttons
These buttons can be seen to the top right of your main Dashboard screen.
+Add a New Valuation*
This button is a shortcut to creating a new Valuation report (for a detailed overview on how to add a new valuation please refer to the Valuations section of this Training Guide).
*The Valuations module is an add-on feature that we provide, it does not form part of our standard offering, therefore this button may not appear on your Dashboard.
+Add a New Listing
This button is a shortcut to creating a new listing (for a detailed overview on how to add a new listing please refer to the Listings section of this Training Guide).
+Add a New Contact
This button is a shortcut to creating a new listing (for a detailed overview on how to add a new contact please refer to the Contacts section of this Training Guide).
Export
You can use the Export button on the top right of the dashboard to download a PDF summary of your dashboard. Simply click on the Export drop-down and select Current Page:
Notification Bell
The notification bell on the far right of your dashboard will show you when your PDF summary report is ready for download or for any other documents, reports, brochures and listings sheets you have requested are ready for download. Click on the bell to open the Notifications drawer, click on Download and then click on the bell again to close the Notifications drawer.
Your Name and Profile Image
This can be found at the top right of the Dashboard page. Highlighted in the below image will be your name and your profile photo, if you have not uploaded a profile photo, your initials will appear in the circular placeholder. Clicking on your profile photo will allow you to Sign Out of the system, should you have site administration rights, you can access your sites settings by also clicking on your profile photo (or initials) and select Site Settings. Tags management, Snippet management, your sites contact information and other settings can be found here.
The green dot under your image or initials indicates that you are connected to our servers. Should this dot be red at any point, please reload the application.
Active Listings, Listings Expiring Soon:
This section shows a complete overview of all your active listings as well as the listings that are due to expire (mandate and lease expiry dates) on the system. Each user, dependant on their User Group access may only be able to view their Active listings, the branches active listings or the groups active listings. If you are an agent, it is likely that the active listings in this section will be your listings ONLY. If you are logged in as management or admin, you may see the listings of the entire branch or franchise. You can also filter your listings using the drop-downs within the box. You can filter by Agent and the timeframe.
Listing Quality
This section shows an overview of all the quality elements of your listings - descriptions, photography, videos, agent photos etc and gives you a % rating based on how much information you have/have not provided when adding your listings.
Always aim at having the listing quality fields at 95% and above so that your listings rank higher on the property portals and your prospective buyers and tenants have all the information they require on your own website. If you have a low % rating on any of the categories, you will be able to click the Resolve button which will take you to the listings that are lacking in that particular quality aspect. For example, your listing descriptions should always have a minimum of 250 characters. If most of your listings are all under 250 characters, you will see a low % under description. When you click on the Resolve button, the system will take you into the relevant listings so you can amend the descriptions. You can also filter your view on the top right corner. You can filter according to branch, agent, type of listing and time period. We understand many agencies may not have the means or budget to add Virtual Tours to all of their listings, some agencies prefer not to map any of their listings, use the Listing Quality as a guide for the aspects that are relevant for your business.
Listings Value
The listings value is the total Rand value of all the listings you have for sale, pending, sold and under valuation on the system. As per the below image, Sold listings are in pink and the remaining in blue. The value of each is seen on the left side of the graph.
This summary can also be filtered using the filters on the right, according to branch (Rand value by branch only), mandate type (Rand value of a specific type of mandate only), listing type (residential/commercial, Holiday or Projects) and the time period.
Lead Source and Summary
The Lead Source section, shown below, shows the number of leads and the lead source - these are filtered by portal, website, mobi site, Gumtree and any other portal/s relevant to your branch. Stock (to the right) refers to the percentage of stock in each category, that you have on the system. In the example below, 48% of the stock is made up of Active listings, 38% are Archived listings etc. You can filter your stock using the drop-downs in the top right and filter by branch, agent and type of listing i.e residential/commercial etc.
Latest Leads and Expiring Mandates & Leases
The below section shows an overview of your Latest Leads and then to the right, your Expiring Mandates and Leases.
Latest leads is a summary of all the latest leads being fed through from the portals and your website and shows when the lead was generated by the system, where the lead came from, the person who created the lead (contact), the lead status and at what stage of the Lead Flow the lead is at (more on Lead Flow under the Clients Module of this training guide).
Expiring mandates and leases are all the listings that are due to expire in the near future. It also shows the mandate type and the agent pertaining to that specific mandate or lease.
You can filter both the sections above according to your needs.
Syndication
The below section shows the syndication of all the users listings to the main paid-for property portals.
Here you can see the number of listings that have failed to feed (the most recent failures will be displayed below each portal), the number of pending listing pending syndication and the number of listings that have successfully syndicated to Property24 and Private Property.
Note: For blocked or moderated listings please contact the relevant property portal. Syndication is discussed in more detail under the Listings section of this manual.
Notifications and Notes
At the bottom of the Dashboard page you will see a Notifications and Notes section, pictured here:
In the Notifications section, we will show you all updates and changes that occur on the system in real time. You can also filter the type of notifications you want to see in the dropdown on the top right of the Notifications section. Notifications include Sold! listings, listing updates, changes to users and branches as well as birthdays.
The Notes section shows any Notes that have been added on the system and you can filter these by user, branch, listing type etc.
