Profiles

In this chapter we will talk about the Profiles section of the Clients module and how you can use, edit and add Profiles to maximise sales opportunities.

Profile overview

A profile is generated by the system if a client has made an enquiry on a property by filling in a contact form on a property portal or your website regarding a specific listing.  The system creates a profile from an enquiry by taking information from their enquiry that pertains to their specific interest i.e area, budget, size, property type etc. The other way that profiles can be established is if an agent manually adds a profile to the system. Agents that make contact with potential leads outside of the system via other means can then choose to manually add them to the system as a contact and match them to specific properties by adding them as a new profile. 

Profiles are useful as they can be matched to specific properties that would potentially interest that client.  The system can also then send an alert to that client with their property matches. 

Agents can use profiles to their advantage because they can easily find tenant/buyer matches for their listings and contact those matches, should they have given permission for the agent to contact them or notify them of potential properties that would interest them.

Keyword search

On the top left you will see the Keyword Search bar (pictured below). Here you can search for any profile with the profile name, keyword or tag. You can also filter your search by using the Profile Status dropdown and selecting either Active or Inactive status.

Refresh

Clicking Refresh will refresh the summary page with any new profiles that have been created.

Reports

Clicking Reports will allow you to generate a Profile report for a specific Tenant or Buyer. When you click on Reports, a new form will open up, as shown below. From this dropdown, select the report you wish to download by selecting the report type under the Template drop down. Once you have selected the type of template, fill in the remaining fields and then click on Generate Report on the top right. Your report will then download automatically.

Export

The Export function allows you to download an Excel or PDF version of selected fields or all fields you have selected or you can download a complete summary of all the records on the system.  The export tab will open a drop-down, showing the options available, as shown below. How to add a new profile

To add a new profile, click New Profile from the profile summary page.

Fill in all the relevant fields shown below. If this is a brand new contact, it will need to be added before a profile can be created. If this is the case, click Add New Contact and fill out the new contact form that follows. If this contact is already on the system and you simply want to create a new profile for them, then you will click Search Contacts and find your contact. Once your contact name has been added, fill in the rest of the fields on the form, as shown below.

Once you have completed the form, save your new Profile by clicking the Save Profile button on the top right, as shown below.

How to Edit an Existing Profile

If you already have a profile set up on the system for a client and you would like to add more information, view any relevant matches, view alerts that the profile has received or edit their information, go to the profile summary page and find your profile by searching for their name in the search bar. 

Once you have found the profile, tick the box next to their name, as pictured below.

Once you tick on their name, you will see a range of options appear in the top right hand corner: 

Next, click on the Edit tab which will allow you to edit all the information pertaining to that profile.

Details will show an overview of the Profile, including their contact details, what property matches they are associated to, who created the profile and which alerts (if any) have gone out to them. 

Add Note will allow you to add any kind of note pertaining to that Profile. You can select the type of note from the menu dropdown.

Matches will show you all the properties that this profile is matched to, based on the initial information that was provided when the profile was created.

Activity will show you a full log of all updates and changes made to this profile, by whom and when.
