Listings

When a new listing is added to Prop Data Manage, on saving the listing, the listing will automatically be queued to sync to the chosen portals. Any updates to a listings branch, images, description, price and a change of agent for example will trigger an automatic resync of a listing to the portals. You can monitor your listings syndication status easily by using this tool. Read more below.

Listings Syndication

When adding or editing a listing, the final step is to Publish your listing. The portals that have been added for your company will be available for you to select at this point. As mentioned in the Syndication Overview section, the various paid-for and free portals use different syndication methods, some syndicate and alert you that your listing is live within a few minutes (P24 and PP) others may only run once a day and may not send any confirmation that your listing is active on their portal. The portal options available to you are determined by your company (larger groups) or by your request to your Prop Data account manager to make the portal available to you.

Syndication Summary Page

Under the Syndication menu, each Listing Type ( Residential, Commercial, Holiday, Projects) has its own summary page, however the functionality discussed below is common across all listings types. We will use Residential Syndication as our example for this section.

The Keyword Search can be used to find a specific listing by web ref, address or portal reference.

Advanced Search: The Advanced Search can be used to find listings in a particular status, for a particular agent or branch and in what syndication status the listing may be in. The fields in the Advanced Search are multiple-select, in other words you can select more than one status for example. In the example below we are looking for listings that have failed to syndicate (Syndication Status), that are set to an Active listing status (Listing Status), that are for sale listings (Listing Types) and are added within the PD Cape Town Branch (Branches).

Leaving a search field blank will indicate to the system that you want all listings in all statuses, this will present you with too many listings, we suggest that you be specific with your Advanced Search request as we have done in the example.

Syndication Status: Your options here are All, Success, Failed, Pending, Withdrawn and Disabled.

Success: Your listing have successfully be added to the portal.

Failed: Your listing failed to sync, however your mouse over the red X to see failure reason.

Pending: The listing has been queued but has not been added or failed on the portal.

Withdrawn: Listing has been removed from the portal, either Archived or the portal toggle has been turned off.

Disabled: The portal is not enabled for the branch.

On the summary page each paid portal, will be listed on their own section as can be seen in the screenshot below:

Now let's take a look at what each column heading means and what each of the symbols under the Status column mean:

Setup: Yes/No. This refers the branch the listing belongs to, if this in No, P25/PP has not been setup for the branch.

Enabled: Has the listing been set to feed to this portal. Yes/No. If No, edit your listing and turn the specific portal toggle on.

Enabled: When we get an ID for the agent back from the portal, No, will change to Yes. If the agent is Setup=Yes and Enabled=No, check other details such as the agents cell number and email address. Once corrected you can sync the user again.

Status: Hover your mouse pointer over the status icon to be shown what the status is.

Green Tick: Success, your listing is on the portal.

Red Gear: Your listing is not set to feed to the portal, edit your listing and turn the portal toggle on, save your listing.

Orange Clock: Your listing is queued to sync.

Grey Bin: Your listing has been withdrawn from the portal. Listing is either archived, expired (PP) or portal toggle has been turned off.

Red X: Your listing is set to feed but something has gone wrong.

Syndication Failure Messages

If your listing has returned a Red X after syndication, this means your listing failed to sync, generally this message is return to us from the portal.

Property24 Common Errors

Failed to update on the Portal. Expiry date must be in the future: This error indicated that the P24 Expiry date has passed and the listing has been removed from the portal. To get your listing back on the portal, edit your listing, scroll down to the Publish section and update the Expiry Date to a date in the future.

Failed to update on the Portal. Blocked by P24: This error means that P24 have moderated your listing and have blocked the listing for a reason they have determined. Please contact P24's moderations team to establish the reason for the block. moderation@property24.com

Failed to update on the Portal. Description may not contain a phone number, phone number is '0831234567': P24 do not allow phone numbers, email addresses and web address to be added to your listing description. Edit your listing and remove any contact information.

Validation failed. New or renewed listings cannot be added with a status of sold, or modified to sold status within 24 hours: A listing that has never been on the portal cannot be added to the portal in a Sold status. Edit your listing and make the listing Active. Additionally, an active listing cannot be changed to a Sold status within a 24 hour period.

We could not process this listing. Please contact Prop Data support (support@propdata.net) Error: Server raised fault: 'Some of the specified agents are not active. AgentIds: 311168: Check to see that your agent is setup correctly, see here.

Primary listing agent is not on P24, contact support@propdata.net: Check to see that your agent is setup correctly, see here.

Failed to update on the portal. Agent "123456" is a member of a suspended agency: Please contact your P24 account manager.

Private Property Common Errors

Failed to update on the portal: PP70 - Failed Mandate Validation : Duplicate entry. Based on matching of the address to another address: Ensure that this listing is not being relisted (as a new listing) within a 6 month period of archiving the old listing, or if you are listing properties in a complex/estate/apartment block ensure that you have unique Unit Numbers added to all the listings. Contact Private Property Support to unblock the listing/s and sync again once done.

Listing requires 3 images to feed: PP has a minimum image requirement. Upload more images to your listing.

Failed to update on the portal: PP60 - The attributes are insufficient. Bathrooms is a mandatory attribute for residential listings: PP requires that all listings other than vacant land listings have a positive bathroom number. Edit your listing and add a figure under bathrooms in Interior Features.

Branch does not have a valid contract: Please contact your Private Property account manager.

Syncing Your Listings

Not only is the Listings Syndication page a handy way to keep track of your syndication but you can use the page to bulk-sync up to 10 listings at a time. This is handy if you have moved listings from one agent to another or if you have corrected multiple listings. Remember to use the Advanced Search to find the listings you want to sync.

To bulk sync listings, select the listings (Max 10 at a time) and click on the Sync button at the top right of screen.

If you need to sync more than 10 listings, select your first batch, click on Sync, deselect your first batch and select your next batch, Sync and so on.

Notes on Expired Listings

Property24: Property24 will remove your sales listing from their portal after 120 days of inactivity. By inactivity, we imply that no updates have taken place on the listing and fed to the portal. If you edit your listing, make an update to the description or images, and sync the listing again, that period will then be increased to a further 120 days. Please note that rental listings will be marked as expired by P24 after 6 weeks or 42 days.

Important for P24: P24 allows you to specify a date to remove your listing from the portal and we suggest a date is added here to avoid the above-mentioned automatic expiries occurring on your listings. The field name is Expiry Date and can be found under the Publish section of the listing add/edit. Adding a date here will not remove the listing from your own website.

Private Property: PP will remove your rental listing from the portal after 6 months of no activity. Your sale listing will be removed from the portal after 12 months of no activity. Here again, activity applies to no updates taking place on the listing during that time. Editing your listing will force a resync to the portal and the listing will again be displayed. The edit must occur within the last 7 days of the listings expiry date, you will be notified by the portal via email. Once updated, sales listings will then be extended by 3 months and rentals by an additional month only. Listings that have already expired will not go live on the portal after an update, please contact Private Property support to make your listing active again, support@privateproperty.co.za.
